Meeting Primer

In the guide’s toolkit, I introduced the ‘Meeting Primer’ as a tool to prime your audience ahead of time with all the key details of your meaning. The Meeting Primer should accompany your meeting invite and include your meeting’s purpose, pre-work and rules of engagement.

Below is an example of a completed Meeting Primer to help you craft yours.

Meeting Title: Decision - Marketing Campaign Messages

Purpose: Decide on a final set of key messages for the new product marketing campaign

Date & Time: 2/2/23 at 3 p.m. CT

Setting: Microsoft Teams

Attendee List:

  1. Person 1 (Host)

  2. Person 2

  3. Person 3

  4. Person n

Assigned Note-Taker: Person 1

Rules of Engagement:

  1. Please use the “Raise Hand” button if you’d like to speak. Otherwise, all attendees should be muted

  2. Decisions will be made by attendee consensus. However, the senior leader can veto and will break any ties

Pre-Work:

  • Please review the attached materials before the meeting. We will not be presenting detailed background info during the meeting and will reserve the time for debate and decisions

Session Recorded?: Yes; will be available in team document folder after meeting

Agenda:

  1. Opening

  2. Review of product and target audience

  3. Debate current messaging options

  4. Final selection of key messages

  5. Next steps and action items

  6. Wrap-up
